Privacy Policy 

Protecting our clients’ privacy is important to us. The purpose of this notice is to explain the information we collect about our clients and how we use it.

  • To ensure protection of clients’ personal data is protected, we comply with The Data Protection Act 2018 and the General Data Protection Regulation
  • Clients are made aware through this policy what personal data we collect, what we do with the personal data, how we store the personal data and how long we store personal data 
  • As a business, we have put measures in place to ensure all data is collected and stored securely
  • We ensure staff receive training regularly and updates are communicated and understood by all employees

VIP Group has added an additional name to its branding namely Redefined by VIP Group. All contracts governed by the FCA and BVLRA remain conducted through VIP Group, which is a trading name of VIP Sports Limited.

We offer two separate services. One is the sourcing of a vehicle and the second is the sourcing of financial products and services. Should You seek to enter into contracts for the services mentioned previously with Us; all products and services would be tailored to Your circumstances and requirements.

VIP Sports Limited is registered in Wales (No. 08272193) Registered with the Information Commissioners Office for the processing of data and our Data Protection Registration number is ZA005550. VIP Group is registered with the Information Commissioners Office for the processing of data under The Data Protection Act 2018 (GDPR). Data protection registration number is ZA005550. 

Under The Data Protection Act and the General Data Protection Regulations we are ‘data controllers’ and ‘data processors’. Our suppliers and lenders are considered ‘data controllers’, you can access their Privacy Policies on their own websites. 

 

Information We Collect

Personal data is any information which identifies you or could be used to identify you. In the ordinary course of business, we collect, retain, and use information about our clients to service them to high professional standards. This information is collected from our clients in writing, in person, by telephone or electronically.

We collate, use, and retain the following data to broker credit deals on our client’s behalf, this includes:

  • Name
  • Address
  • Contact Info – Telephone number and email addresses
  • Employer information – address, contact number, email, length of time at employment and position in the company
  • Date of Birth
  • Bank details – Bank, address, sort code, account number
  • Income and expenditure

This information is entered into and order form for the clients to give us authorisation for us to forward to third parties to obtain car finance.

We retain a paper copy and an electronic copy of this data. The paper copy is kept for the length of the contract. The electronic copy is kept for 6 years.

To progress with a finance application, we also hold the following data for each client:

  • Proofs of identity- Passports, driving license, bank statements, utility bills
  • Financial agreement info regarding new and pre-existing contracts with finance companies
  • Experian checks
  • Insurance information/insurance certificates

This information is kept electronically and retained for 6 years. No paper copies of this data are kept on file. 

Information We Disclose

The main purposes for which we use your data can include:

  • Arranging the provision of a service offered by us through a third-party service provider
  • Providing access to and managing your agreement for the supply of the service that you requested
  • Responding to any emails we have received from you
  • Providing you with status updates and service communications
  • Providing an industry leading service tailored to your requirements
  • Identifying you when you contact us
  • Processing your personal data to comply with legal obligations of which we are subject
  • Processing your personal data to comply with legal obligations, such as transaction records to comply with tax requirements

To make services available to you, we may need to share your personal data with some of our service providers. These include IT and account providers, along with finance companies and vehicle manufacturers and suppliers.

VIP Group only allows our service providers to handle personal data once we have received client consent. 

We may share your data with:

  • Our carefully selected suppliers. These will only be FCA regulated companies who provide car finance, supply of cars or insurance agents.
  • Credit reference agencies to apply for finance on your behalf
  • Governmental bodies, regulators, law enforcements agencies when required to do so by law
  • To exercise our legal rights
  • For prevention, detections, and investigation of crime
  • For the protection of our employees 
  • This list is not exhaustive, and in some instances, we may require collecting additional data.

Aside from our service providers we will not disclose your data to a third party without your written consent, which will be obtained separately from your order. VIP Group are not responsible for how our service providers handle your data. Service providers have their own privacy policies in place and can be found on their own websites.

Direct Marketing

We use Mailchimp, Email and WhatsApp as forms of directing marketing,

From 25th May 2018, clients will have to opt in to receive direct marketing from VIP Group. This authorization will be recorded on the Direct Marketing ‘Opt In’ register and confirmation saved in Dropbox.

Clients will receive our privacy policy at first point of contact with VIP Group and are given the opportunity to be added to our direct marketing mailing list.

If you wish to unsubscribe from our direct marketing, you can contact VIP Group, and you will be removed from our directing marketing list.

 

Security Information

We are committed to keeping your person data safe. We maintain appropriate administrative, technical, physical, electronic, and procedural safeguards to protect our client’s person information.

Our security measures include:

  • Regular cyber security assessments
  • Risk management and systems and controls processes in place
  • We have strict internal policies against unauthorised use or disclose of client information.
  • Our client’s information is accessible only to employees who need it to conduct our clients’ financial affairs or provide services to them.
  • Our employees, and our account management practices, are governed by extensive regulatory procedures, and by internal procedures.
  • Our staff members are reminded on a regular basis of their obligations regarding the confidentiality of client information through employee training by operating procedures. 
  • All electronic data is stored for 6 years and is destroyed via the appropriate methods
  • All data on paper is stored for the length of service provided and destroyed via the appropriate methods

Right of Access

Under The Date Protection Act and the General Data Protection Regulations, you have the following rights:

  • To ask for a copy of the personal data we hold on file
  • To ask us the delete your personal data, if the instance arises that we no longer have a legal right to keep it.
  • To ask us to update and correct any out-of-date data we hold about you
  • To opt out of any marketing communications we send
  • To ask us to retain your data without use.

The request must be in writing and must contain the following:

  • Your name and address
  • Details of your request
  • Any details which may help us locate the information which is the subject of your request

The following must also be provided:

  • Proof of identification for us to verify your identity
  • A recent proof of address
  • Your signature and the date of request
  • Any third-party authorisation, if requesting on behalf of a client

We have a right to provide you with an adequate response within 1 months of your request for a copy of data, deletion, or data updates. If you choose to opt out of marketing our aim is to do this with immediate effect.

Legal Information

Under The Data Protection Act and General Data Protection Regulations, we are only permitted to collect your personal data if we have a legal basis to do so. The legal basis will be dependent on the reason we need to use your personal information. For Redefined by VIP Group, the legal basis will be:

  • Client classification, process your application and provide you with a service suitable to your needs
  • It is in our legitimate interests as a business to use your personal data to operate and to consistently improve our business as a credit broker and supplier of a service
  • Compliance with our legal obligations to prevent crime and fraud
  • Handle any client queries, complaints, or disputes in the correct manner 
  • You have provided consent to us using your information for a particular purpose

Customers have the right to withdraw consent at any time.

We will not hold data longer than legally required.
